SOP Summary

In an effort to promote an appropriate level of service and safety to the off-road community as well as individual members of the Esprit de Four four wheel drive club, the following SOP's are submitted to coordinate use, handling, and storage of the club owned Garmin Satellite Phone

Budgeting

After initial purchase of the phone, case and prepaid airtime, annual budget will include $650 annual fee in order to maintain air-time with the satellite phone provider. In case of increase of annual fee, the budget will need to be modified the following fiscal year to cover the increase for the prior and current fiscal year

Payment Form

For the initial purchase of the phone, and subsequent annual renewal, the VicePresident should request a check from the Treasurer at the meeting (or 2) prior to need

Use

This device was purchased and intended to be used for emergency use only. In the event of an emergency where possible risk to life or limb is present, it should absolutely be used. The trail boss for the given trail will have discretion for use of the satellite phone in other instances. Regardless of the reasons for use, care must be taken to keep airtime to a minimum to avoid excessive charges to the club

Possession

The satellite phone will be maintained by the club's vice president when not in use for a trail run. It will be the vice president's responsibility to ensure that it is available for use to the trail boss or designee and that it is returned in a timely manner upon the completion of the trail run

It will be the sole responsibility of the trail boss or designee to maintain possession of the satellite phone and return it in good working order after the run. The trail boss or designee will check the phone for proper functioning upon receiving the device to ensure it has not been damaged

Concurrent Club Runs

In the event of more than one club run taking place at the same time, but in different areas, the group going farthest from civilization, medical help or wheeling more difficult trails will be the group selected to take the satellite phone if requested

    Yes. 911 Emergency Service is available in the United States, Puerto Rico and the U.S. Virgin Islands by dialing "911" and pressing "OK" or the green soft key. When the call is made, it is automatically routed to Iridium’s selected 911 emergency call center provider, Intrado. After determining the nature of the emergency, Intrado will route the call to the nearest Public Safety Answering Point
